Administrative Assistant
Primary Functions:
Efficiently perform administrative duties for the OST Programs and take direction from OST Office Administrator and/or immediate supervisor.
Carries out administrative duties (data entry, tracking, organizing, labeling, sorting, posting, copying, mailing) in accordance with instructions.
Organize, coordinate and complete all assigned administrative functions including typing, reception, filing, photo-coping, word processing duties and database maintenance
Supports team by performing tasks related to organization and strong communication
Registration/Intake of participants of all ECS OST programs
Qualifications:
• Fluent in English & Spanish grammar, punctuation, spelling, and paragraph formation
• Excellent verbal and written communication skills
• High school graduate or equivalent (Business Office Administration graduate preferred)
• At least two (2) years Administrative Assistance experience
• Proficient computer literacy in the MS Windows Suite; knowledge of MS Teams
• Ability to follow directions and problem solve with minimum supervision
• Ability to manage and prioritize multiple tasks and assignments
• Ability to effectively communicate with a diverse population
• Ability to use good judgment and discretion when working with highly sensitive information
• Ability to perform detailed data entry with a high degree of accuracy
• Excellent conflict resolution and interpersonal skills
• Strong organizational and planning skills
• Exhibits polite and professional communication via phone, e-mail, and mail at all times.
• Car or Reliable transportation needed
Duties and Responsibilities:
Manage data entry for City Span and ETO Data Systems
Assist Administrative support to shared services (HR, IT, and L&E) when necessary
Assist in the coordination and management of enrollment process for all OST Programs
Assist OST Directors and Administrator in preparation of all meetings, trainings and other program related coverage
Create and maintain client and staff filing system according to programmatic needs and licensing standards
Assist in the coordination, management and implementation of a Tickler System for all required contracts and reports
Assist, create, and manage registration process, attendance tracking, client compliance, program sign-in-sheets, program rosters, client medical info, consent and release lists, and 21st CC reports in accordance to licensing and contractual requirements
Assist in gathering monthly program statistics in accordance with funding and agency requirements
Function as a liaison between ECS OST Programs and school district personnel for communicative administrative purposes
Assist Administrator by management of State licensing process for all OST Programs
